Database / Membership Officer – Girl Guides WA Inc – Perth

Girl Guides Western Australia is part of a global movement with more than 10 000 000 members in 145 countries. The Mission of Girl Guides Australia is to “empower girls and young women to become confident, self-respecting, responsible community members” and this is achieved through a varied program of activities which incorporate fun, friendship and adventure with personal development.

Our office in Burswood provides administrative support for our volunteers, operates a small retail outlet and serves as a communication hub between the state and national organisations and the wider membership.

We are seeking an experienced Database / Membership Officer who will operate under supervision to ensure database information is current and accurate and deal with membership payments and enquiries. The role involves working as part of a small team of paid staff and volunteer office bearers.

Girl Guides WA is currently undertaking a review of its administration and staffing requirements so the successful applicant must be prepared to take on other duties in the future, including assisting with general enquiries and retail responsibilities.

MAIN DUTIES / RESPONSIBILITIES:

iMIS Database related tasks

Be responsible for the day to day operation and maintenance of the Girl Guides WA database.
Liaise with database consultants to ensure problems and updates are addressed in a timely fashion.
Add new members to the database.
Amend database information based on reports from individuals, Unit Leaders and volunteer Managers.
Support other staff in their use of the database.
Support volunteer Leaders and Managers in their use of the database.
Generate reports as required by the Administration Manager.

Membership processing

Process invoices and payments from members who do not have online access.
Receive and respond to correspondence, telephone calls and emails relating to membership.
Follow up with members on issues including unpaid invoices and discrepancies in database information.
Update and manage membership forms.

Teamwork

Report regularly to the Administration Manager on issues related to the role.
Maintain a high level of rapport with other staff and support colleagues at all times.
Liaise and cooperate with volunteers.
Demonstrate clear support of the vision and agreed strategies of Girl Guides WA.

SELECTION CRITERIA

The ideal applicant will be able to demonstrate:

Experience with database management, preferably using the iMIS system.

Experience working in small office with customer service responsibilities.

High level user skills in MS Word, MS Excel and MS Outlook.

High level skills in the use of a membership database.

Accuracy and attention to detail.

High level interpersonal skills.

Strong written and oral communication skills.

Excellent organisational and problem solving capabilities.

Willingness to support other staff in the conduct of their duties.

Salary will be based on the Social and Community Services Award Level 4.
